What Clanopedia collects
- Account and profile data, such as your email address, display name, surname, clan name, region and language if you choose to provide them.
- Sign-in and session data needed to sign you in, keep your session safe and protect account-only pages.
- Public contribution and correction submissions, including clan names, surnames, praise names, history, sources and explanations you choose to submit for review.
- Private family-tree starter data, such as names, living status, years, relationships and private notes that you add to your own family tree.
- CultureKit activity, including which templates you unlock or download.
- Heritage Credits, referrals and achievement activity, including earning events, spending events, referral status and badge progress.
- Technical data needed to run the service, such as basic request, device, browser, security and diagnostic information.
Public and private data
Clanopedia separates private account areas from public cultural records. Your profile, submissions, review status, family tree, CultureKit downloads, Heritage Credits, referrals and achievements are account-scoped unless a feature clearly says otherwise.
Your family tree is private unless you choose to share information through a separate public contribution feature. Family-tree data is not shown on public clan pages, surname pages, browse pages or search results.
Public contributions and corrections may be reviewed by Clanopedia reviewers. If approved, suitable cultural or source-supported information may appear in public records with review and confidence context. Submission, approval, community feedback or a listed source does not prove that a record is true, complete, official or final.
Sensitive information and ID numbers
You do not need an ID number to create an account, build a family tree, search public records or make basic heritage contributions.
If Clanopedia introduces a future verification feature that requires sensitive identity information, that process will be explained separately and used only for the stated verification purpose.
Clanopedia does not sell your personal family data.
Clanopedia does not share your personal family data with partners without a lawful basis, clear purpose and appropriate consent or safeguards.
Living people and family information
Please do not post private details about living people in public contribution or correction flows unless you have a lawful and respectful basis to do so. Avoid ID numbers, addresses, medical details, financial details, private disputes and phone numbers.
Use the private family-tree area for family notes that should not be public. Even there, add sensitive living-person information carefully and with consent where appropriate.
Reviewer and admin access
Reviewer or admin access is limited to operational purposes such as reviewing submissions, applying approved corrections, marking disputed records, preventing abuse and maintaining record quality.
Reviewer notes, private family-tree data, sign-in tokens and account security data should not be exposed on public pages.
Data protection principles
- Collect only what is useful for providing and protecting the service.
- Keep private family data separate from public cultural records.
- Use human review before publishing sensitive cultural claims.
- Label records as community contributed, source-supported, under review or disputed where appropriate.
- Protect account data with sign-in checks and rules that limit who can see or change private information.
- Improve or remove data where a valid correction, privacy or safety concern is raised.
POPIA-aware wording
Clanopedia aims to handle personal information in a way that is consistent with South African data protection principles, including purpose limitation, minimal collection, reasonable security safeguards, openness and user participation. This page is POPIA-aware but has not yet been formally reviewed as a final legal policy.
Contact about privacy
Contact Clanopedia through the support channel provided to you to ask about your personal information or request access, a copy, correction or deletion where the law allows. You may also question or object to how your information is used. A dedicated privacy contact address will be published when available.
This policy may evolve as the product, hosting, review process and legal review mature.
